Executive Board Positions

Anyone interested in or has questions about an executive board position for the 25-26 school year should reach out to any of the current officers. We will happily answer any questions or discuss any positions of interest.

President

The Boosters President provides leadership within the Hathaway Boosters Club.  It is vital that the President help foster a caring community of parent volunteers to support teachers and staff.  The President is responsible for:

  • Leading Booster Club meetings, checking PO Box weekly, and checking email daily.

  • Conferring with Hathaway’s principal regarding the school's needs as well as maintaining relationships with school administration, principal, staff, chairpersons, and Hathaway’s families.  

  • Supporting membership growth and participation by recruiting, managing, and motivating volunteers as well as nurturing potential leaders for the incoming team of officers. 

  • Assisting the Treasurer in maintaining our non-profit status and working with the Secretary to create meeting agendas. 

  • Preparing an annual budget with the officers and applicable chairpersons. 

  • Reviewing and conforming to the Boosters Club bylaws, , including Initiating and facilitating annual elections of officers at the year-end.

Vice President

The Vice President may be called upon at any time to temporarily assume the President’s role; therefore, they should study the President's responsibilities and possess a general familiarity with the work of the Hathaway Boosters Club.  Should the President resign, the Vice President immediately assumes all duties within the Boosters Club until the President's position is filled in accordance with the bylaws.  The Vice President is responsible for:

  • Assuming responsibility for duties designated by the President.

  • Representing the President in their absence or upon request and conferring and helping the President with their duties.

  • Coordinating tax donation thank you letter preparation and distribution. 

  • Assisting with parent and teacher communication, managing all Social Media Accounts, and checking email daily

  • Connecting with outgoing officers about successful and less-than-successful events and strategies employed during the previous year. 

Treasurer Position

The incoming Treasurer should discuss with the former Treasurer the status of current Boosters Club activities, current accounts, and the bylaws as they relate to the Treasurer's responsibilities. The Treasurer is responsible for:

  • Reconciling the Booster Club's records with the monthly bank statement and maintaining an accurate record of all receipts and disbursements. 

  • Tracking all deposits and expenses, analyzing proposed budgets, and reporting findings via a written financial statement at each Boosters Club meeting. 

  • Remitting, via check, all authorized bills and statements as approved and reflected in Boosters Club meeting minutes. 

  • Supporting other Boosters Club officers in their duties as related to treasury and depositing all money in the Boosters Club bank account(s).

  • Communicating with fundraising chair(s) to assure that deposits are made within one (1) week of receipt or delegating collection and deposit of all funds raised during events as needed. 

  • Ensuring that all financial accounts have two (2) authorized signatories on file.  Boosters Club minutes must reflect the approval of an additional signatory. 

Secretary Position

The Secretary is responsible for keeping an accurate record of the proceedings during all Boosters Club meetings.  These records formulate the permanent history of the Hathaway Boosters Club.  The Secretary must maintain all Boosters Club correspondence, including incoming and outgoing communications. The Secretary is responsible for:

  • Sending an announcement of the next Boosters Club meeting (date and time) as well as working with the President to form meeting agendas. 

  • Taking attendance at each Boosters Club meeting, presenting a draft of the minutes of the previous meeting, taking minutes during each meeting, and tallying votes (oral and silent).

  • Maintaining a complete file of all approved minutes in addition to the Boosters Club address book.

  • Supporting other officers in their roles and responsibilities and distributing updated information as necessary.

  • Managing Signup Genius.
